Policies and Procedures

  • General Policies
    All participants must have an account created by a legal guardian through the Parent Portal with accurate contact information, agreement to all policies, and the participants names and birthdates listed as students. This is a requirement of our insurance. Forged accounts/waivers by unauthorized persons, incorrect birthdates, and/or other inaccurate information provided will be grounds for permanent dismissal from GymQuest and DanceQuest programs. Questionable accounts will be flagged. PLEASE DRIVE SLOWLY AND CAREFULLY THROUGH OUR PARKING LOT GymQuest of Plainfield and staff will not be held responsible for any items that may be lost or stolen. It is not recommended to leave valuables such as electronics or jewelry in your vehicle or in the lobby unattended. GymQuest is not responsible for unsupervised children in our lobby. Children should always be supervised. No running, climbing, or tumbling in the lobby. PLEASE CLEAN UP AFTER YOURSELF AND PLACE TRASH IN THE PROPER RECEPTACLES. Children under 6 months of age are not permitted in the gym under any circumstances. No infant carriers, slings, backpacks, or strollers are allowed in the gym. No gum, candy, or food will be allowed in the gym or dance studios. Only no-spill water bottles will be permitted in the gym or dance studios. Adults ages 18 & older are not permitted to enter the gym unless they are attending a Mini Me class, are attending Quest Junior open gym, are attending a birthday party with a child under the age of 5, or are hosting a birthday party. Adults ages 18 & older are not allowed on any equipment including inflatables, trampolines, and foam pits. GENERAL DRESS CODE No Bare Stomaches Hair longer than shoulder length should be pulled securely away from the face in a ponytail No jewelry (small stud earrings are acceptable if they cannot be removed) All students should be barefoot or wear clean cheer shoes that have been approved by coach No street shoes in dance studios ------------------------------------------ Taking photos or video of staff and/or any child that is not your own without their consent is strictly prohibited. Failure to comply with safety rules will be grounds for dismissal without refund. Children found to be repeatedly disrespectful to staff and/or other students may be suspended from GymQuest or DanceQuest programs Anyone found to have caused deliberate damage to property belonging to GymQuest will be permanently dismissed from GymQuest and DanceQuest programs.
  • Billing Policies
    ANNUAL REGISTRATION FEE: All students that enroll in a class will be charged a $30 annual fee. This fee covers all programs in our building (gymnastics/dance/cheer). The fee covers one year from the date paid. The registration fee will automatically be added to your tuition payment in the month that it is due if the student is actively enrolled in a class or program. Registration fee is not refundable. No refunds will be given. --------------------------------------- All classes are billed monthly and require autopay approval. Students enrolled in any class or team program must keep a valid credit card on file with GymQuest. Information will be stored electronically through your online Parent Portal Account. Only one credit card can be stored on file. Credit card on file can be updated by logging in to your online Parent Portal account. By entering a credit card on file, you authorize GymQuest of Plainfield to process all tuition and fee payments associated with the program in which your student is enrolled. A billing statement will be emailed approximately one week before a payment is processed. It is the customer’s responsibility to make sure the primary email address on file is valid. It is the customer’s responsibility to review the billing statement before the 15th of the month. Tuition payments are automatically processed on the credit card on file on the 15th of each month for the upcoming month’s classes. If you prefer to pay with cash or check, you must make your payment by the 14th at the registration desk during normal operating hours. If a balance remains on the billing date, it will be charged on the credit card on file. Tuition will not be prorated for holidays or breaks. All breaks and holidays are already accounted for within the pricing scheme. Payments for any additional fees associated with your program will be processed on the 1st of the month. A fee schedule will be provided if applicable. Once the payment has been processed, tuition is not refundable. No refunds will be given. In the event of a medical issue, please provide a doctor’s note within 1 week of injury and see the front desk for details on how to proceed. GYMNASTICS TUITION DISCOUNTS: 20% off sibling tuition (applies to the lower priced class) 25% off second class for same student (applies to the lower priced class) DANCE TUITION DISCOUNTS: 15% off sibling tuition (applies to the lower priced class) Hourly price discounted depending on amount of hours/week enrolled fo ------------------------------------- Account must be financially in good standing for any child to participate in a class or program. Students with an overdue account balance will be sent out of class. LATE PAYMENTS: If a payment is declined on the 15th, a billing statement will be sent by email. Customers will have until the end of the day on the 19th to make a manual payment through the online Parent Portal or calling the registration desk. On the 20th a $15 late fee will be applied to your account An additional $15 late fee will be applied on the 25th if the balance has not been paid. If the balance is not paid in full by the last day of the month the student will automatically be dropped from the program and the account will be sent to collections.
  • Cancellation
    Cancellation notice must be emailed to info@gymquest.com Email must include the student’s first and last name, the class to be cancelled, and a reason for cancellation. Cancellations must be received by GymQuest by the end of the day on the 12th to avoid billing on the 15th On the 13th of the month your payment is in progress and cannot be stopped. When cancellation has been processed, you will receive a confirmation email containing the effective date. After cancellation, student will be permitted to attend class through the effective date. The customer is responsible for payment of class tuition whether the student attends class or not until cancellation notice is received by email and confirmed by staff. Verbal cancellations will not be accepted.
  • Holiday / Breaks
    HOLIDAYS – GymQuest & DanceQuest will be closed on the following holidays New Year’s Day Easter Memorial Day Independence Day Labor Day Halloween (open in AM, closed in PM) Thanksgiving Day Christmas Eve Christmas Day New Year’s Eve BREAKS – GymQuest & DanceQuest will not run classes during the following scheduled breaks DanceQuest Only – 1 week in June following Annual Recital. 1 week in August after Summer classes end & before Fall classes begin. 1 week in December from Sunday through Saturday containing Christmas Day. See class schedules for exact dates.
  • Dress Code
    DanceQuest dress code is detailed for each class in the CLASSES page. Please look under each class your child is in for appropriate dress. General guidelines are: No bare stomachs No outside shoes (all shoes must be for indoor use and changed upon arrival) Hair must be secured up for all classes No jewelry (small stud earrings are acceptable if they cannot be removed)
  • Missed Class Policies
    Customers will not receive any compensation or refund for missed classes/practices Team and Pre-Team programs do not allow make-up classes. Students in rec classes will be permitted to make up one missed class per month per enrollment. (For example, one missed class in January can be made up, but a second absence of the same missed class in January cannot be made up) During the Summer session only, make-up classes will be unlimited. Make-up classes can only be scheduled after the registered class has been missed. You cannot pre-schedule make up classes. Make-up classes must be scheduled within 30 days of the missed class. After 30 days, the make-up expires and cannot be used. Make-up classes must take place within 6 weeks of the missed class. Make-up classes must be scheduled in advance, walk-ins are not accepted. Make-up classes are only available in classes with openings. If a class is full, you cannot attend as a make-up. A student must make up in a class that is the same age group and/or skill level as the one they missed. If the same level is not available, the student can make up in a class below their level. Students cannot schedule a make-up in a class level higher than their current level. Make-up classes are not guaranteed. We will do our best to find a suitable class, however it is not always possible. If there is not a class that meets your needs, you can redeem your one make-up for a free open gym pass in lieu of the make-up class. Open gym passes must be picked up at the registration desk within 30 days of the missed class. Open gym passes must be picked up prior to attending open gym. You cannot ask for a pass while checking in for open gym. We recommend scheduling your make-up class as soon as possible after missing a class. Once a make-up class is scheduled, your make-up is considered redeemed even if you do not attend the class. 24-hours notice is required to make any changes to your make-up class. Missed make-up classes cannot be re-scheduled.
  • Level Advancement
    Class level placement is at the discretion of GymQuest and DanceQuest staff. Placement is based on a combination of age, maturity, experience, and skill/ability. Instructors will notify the registration desk of a student’s advancement eligibility as soon as the appropriate criteria has been met. Advancement must be approved by the instructor and verified by the registration desk before a student can transfer to the next level.
  • Arrival and Pickup
    PLEASE DRIVE SLOWLY AND CAREFULLY THROUGH OUR PARKING LOT Please be sure your student arrives 5 minutes before his/her scheduled class time Young children must always be supervised while in our lobby. GymQuest/DanceQuest staff is not responsible for children outside of class. Students should use the restroom and wash hands before class. Students should never enter the gym or dance studio without an instructor. If you are arriving late for a GymQuest/DanceQuest class, please check in at the front desk and we will escort the student to class. Children in our Quest Junior programs should always have an adult in the building. Adults with children ages 6 and older can leave the building once the student is in class. Please arrive early to pick up your student. Please inform us if you know you will be late picking up your student. Instruct your student to wait inside the building to be picked up. All children should be escorted from the building to your car. Parents are not permitted inside the gym or dance studios during classes unless enrolled in a Mini Me class. For the safety of all participants, please wait in the viewing areas. Any discipline problems that cannot be dealt with by the coach will be brought to a parent.
  • Other Class Policies
    All students should use the restroom before class Arrive promptly and prepare for class (use restroom, change shoes, etc) Only water is allowed in studios-no other food or beverages allowed Students are never to be unattended in dance studios. You must wait for your teacher before entering Young children must be supervised AT ALL TIMES in the lobby by parent or guardian Do not leave valuables unattended in the lobby A student arriving more than 15 minutes after the start of the class may be asked to observe instead of participate. Students taking back-to-back classes may have 5 minutes between for restroom and snack. The instructor will expect them in the next class no later than 5 minutes after the start of class
